Cancellation, No-Show and Lateness Policy

At Werkman, Boven & Associates Foot Clinic, we strive to provide all our patients with the highest level of care. We understand that life can be busy, and unforeseen circumstances can impact your ability to get to your appointment. We operate a busy clinic, and your understanding and respect for our schedule is greatly appreciated.

We have established the following cancellation policy to ensure we can accommodate all our clients efficiently.

All Patients

  • We require at least two business days’ notice for all appointment cancellations.
  • All cancellations with less than two days’ notice must be made by phone.
  • The reason for all cancellations will be documented in the patient’s chart.
  • All fees for cancellations or missed appointments are the patient’s responsibility and are outlined below.

Returning Patients

If you do not provide two business days’ notice to cancel your appointment or fail to arrive for your appointment, you will incur a $50.00 fee. This will be billed to your account and must be settled before scheduling the next appointment.

New Patients

If you are a new patient and cancel your appointment with less than two business days’ notice or fail to arrive for your appointment, you must pay a deposit of $125.00 to reschedule. This deposit will be forfeited as a cancellation fee if you fail to attend the subsequent appointment or cancel with less than two business days’ notice.

Surgical Procedures

If you are scheduled for a surgical procedure and do not provide two business days’ notice to cancel your appointment or fail to arrive for your appointment, you must pay a deposit of $200.00 to reschedule. This deposit will be forfeited as a cancellation fee if you fail to attend the subsequent appointment or cancel with less than two business days’ notice.

Late Arrivals

If you arrive late to your appointment, we will do our best to accommodate you. However, we may need to reschedule for a later time or day to maintain clinic flow and not delay other patients.

We appreciate your cooperation in helping us provide the best possible care to all our patients.

Documentation Requirements

On your first visit to Werkman, Boven & Associates, we ask you to complete our Patient Information Form, including the Patient’s Consent. You can download the Patient Information Form here and bring it along to your first appointment. You also can complete and submit this form online by way of an email invitation. For the email invitation, contact our clinic with your email address.

Visit Length

The length of each footcare appointment varies based on several factors, which will be determined at the time of booking.

At Werkman Boven Foot & Orthotic Clinic, we are committed to enhancing the quality, accuracy, and efficiency of the care we provide. To support these goals, we may use secure transcription services to assist with clinical documentation during patient visits.

What is Transcription Charting?

Transcription charting allows our chiropodists to document clinical notes using voice-to-text technology. This process ensures thorough and accurate medical records while allowing us to focus more directly on patient care during appointments.

Heidi, the program we most often use, is compliant with applicable healthcare privacy regulations and safeguards all personal health information.

  • You may notice your chiropodist using a mobile device or speaking aloud brief notes during your visit.
  • Only clinical information relevant to your care will be transcribed—personal conversations or non-clinical details are not included.
  • Transcription is used only to support accurate and efficient documentation.
  • Your experience and care always remain our top priorities.
